1. The vault is your business memory
Everything Mycel knows lives in your vault: documents, notes, uploaded files, and the records other apps send in. It is plain documents in folders, like a shared drive. Open Vault in the top bar; its own bar switches between your folders, search, and recent changes.
A business vault is ONE shared space for your whole team. Your personal vault, if you have one, is private to you. Switch between them with the vault switcher at the top.
2. Folders: organize it your way
Open Vault. Use New folder to make one where you are, and New file to write a document or a note. Each top-level folder is an area of the work (Sales, Operations, Payroll). Rename, move or delete a folder from its row; deleting a folder never deletes the documents inside, they move up one level.
Upload files by dragging them onto a folder, or with Upload.
3. Teach it by chatting
In Chat, tell the assistant things the business should remember: a price, a rule, how a job is done. It files them into the right folder and shows you where it went, with an Undo.
Ask it questions and it answers from your vault, and tells you which documents it used.
4. Your team and what each person can do
Invite people from Settings, then Organization. Each person gets a role: Owner (everything), Admin (people, folders, connected apps, not billing), Member (does the work: adds documents and project items, edits their own), Viewer (reads only).
For finer control, use the lock on any folder in the Vault: owners and admins only, or team members but not viewers. People who cannot see a folder do not see its documents, and the assistant does not answer them from it.
5. Projects: track the work
Open Projects and create one. Add items to its board, then tap an item to fill in details, assign a teammate, add labels, set dates, and leave notes. Every change is timestamped in the item's Activity.
Each project has its own folder in the Vault (/Projects/<name>/). Every item is written there as a document and kept up to date, so search and the assistant see your projects too; an item's Files tab shows its document and the project's attachments. Mark a project complete, or delete it (with Undo), from the ⋯ menu; its folder is always kept.
6. Connected apps
If you use Relay or TradesBackbone, connect them from Settings, then Organization, then Connected apps (owners and admins). They can then read the folders you allow, and their records show up on Home.
Customers live in those apps, not in Mycel. Mycel is where the business keeps what it knows.
Mycel is a workspace with an assistant called Assistant built into it. You talk to Assistant in ordinary language — the way you'd text a colleague — and it writes the things worth keeping into your vault: your own organized set of documents.
The point is that you never have to file anything. Tell Assistant"we never book installs the first Monday of the month" and it both replies and saves that where it belongs, so you and your team can find it later without remembering where you put it. Customer records stay in Relay or TradesBackbone.
Your vault is plain text (Markdown) underneath, and you can download all of it at any time. See Getting your data out.
Everyone in the business works in the same vault. What one person teaches it, the whole team (and your connected apps, where you share it) can use.
- Owner: Everything, including billing and closing the business account.
- Admin: Runs the team: people, folders, connected apps. Not billing.
- Member: Does the work: reads everything they can see, adds documents and project items, edits their own.
- Viewer: Reads only. Sees the vault and projects, changes nothing; can still talk in team chat.
Private folders. An owner or admin chooses who sees each folder from the lock on its row in Files: everyone in the business, team members but not viewers, or owners and admins only. Settings, then Organization, lists every private folder in one place. A private folder is never read by a connected app.
History and restore. Every document keeps its earlier versions. The Timeline shows who changed what and when; open a change to see the earlier versions and restore one. A restore keeps the text it replaced, so it can be undone the same way.
Undo. When Assistant files something from chat, the receipt under its reply has an Undo.
1. Make an account. Go to sign up and enter your email and a password. You may be asked to confirm your email address by clicking a link we send you.
2. Answer three short questions. The first time you sign in, Assistant asks about what you work on and how much you want it to chime in. There are no wrong answers — type naturally. Your answers set how talkative Assistant is to begin with, and you can change all of it later in Settings.
3. Start typing. You land in the workspace. The big box at the bottom is where you talk to Assistant.
Type into the box at the bottom of the Chat screen and press Enter. Plain sentences work best. For example:
- "Write down how we close the shop at night: lights, alarm, cash drawer."
- "Remember that we never book installs on the first Monday of the month."
- "What is our process for a warranty callback?"
When Assistant saves something, a small receipt appears under its reply telling you what it saved and where. Click the receipt to open that document. When Assistant used your existing documents to answer, it shows those sources above its reply — so you can always see where an answer came from.
Assistant files everything into one of seven folders. You don't choose — it decides, and you can move things afterwards.
- Comms — messages and correspondence.
- Projects — active work and its tasks.
- Domains — reference knowledge you keep coming back to.
- Network — people you keep notes on, in a personal vault. A business vault has no Network folder: customers live in Relay or TradesBackbone.
- Playbooks — checklists, procedures, templates.
- Memory — decisions, notes, ideas. Also the catch-all when nothing else fits.
- Calendar — anything with a date attached.
If you can't find something, look in Memory first — that's where anything ambiguous lands. Or just ask Assistant in chat.
Above the message box there's a toggle that reads Vault on. Switch it off and it reads Scratch. In Scratch mode, Assistant won't look at your vault and won't save anything from that conversation — useful for thinking out loud or asking a throwaway question.
If a scratch conversation turns out to be worth keeping, a Promote button appears at the top of it — click it to save that conversation into your vault after the fact.
You can only flip this toggle before the conversation starts. Once a conversation has messages in it, the setting is locked for that conversation — start a new one to change it.
Ask Assistant. This is the best way. Type your question in chat — "what did we agree with Ruth?" — and Assistant searches your vault by meaning, not just matching words, and answers with the sources it used.
Jump to a screen or a known item. Press Ctrl + K (⌘ + K on a Mac) to open the quick-jump box, then start typing.
Browse. Open the Vault screen and click through the folders. Each folder has a filter box for narrowing the list by name.
Worth knowing: the quick-jump box and the folder filter match on names only. Searching the contents of your documents is done by asking Assistant in chat — there is no separate full-text search box today.
Press ? anywhere in the workspace for the full list of keyboard shortcuts.
Click any document to open it. It edits like a normal word processor — select some text and a small toolbar appears with bold, italic, headings, lists and links.
Your changes save themselves a couple of seconds after you stop typing. To save immediately, press Ctrl + S.
If you and Assistant happen to change the same document at the same moment, a banner appears offering to keep your version or take Assistant's — nothing is silently overwritten.
To make a new document or folder, use the buttons at the top of the Vault screen. You can rename, move, pin, download or delete any document from its row.
To link to another document, type its name in double square brackets, for example [[Price list]]. Under every document, Linked from lists each document that links to it; click one to open it.
Details under a document's title holds its summary, links, earlier versions, rename and status. Drag the left edge of an open document to change its width, and double-click that edge to reset it to half the screen.
On the Vault screen, use the upload button or drag files straight onto the page. Each file gets a receipt telling you where it landed.
Files can be up to 25 MB each. Accepted types: PDF, plain text, Markdown, PNG, JPG, WEBP, Word (.docx), Excel (.xlsx) and CSV.
Uploaded files are stored and listed for you to open and download, but their contents are not read into Assistant's memory — so Assistant can't answer questions about what's inside a PDF you uploaded. If you want Assistant to know something, tell it in chat or write it in a document.
Across the top of the workspace are your main screens; the rest live under More. On a phone, tap the menu icon.
- Chat — talk to Assistant. This is the main screen.
- Notes — your documents, for longer writing.
- Projects — projects and the work items inside them, as a board, table, timeline or calendar.
- Contacts — the people you keep notes on, in a personal vault. In a business vault this tab is Customers, and it links to Relay or TradesBackbone.
- Vault — browse all your documents and files.
- Timeline — what changed recently.
- Domains — knowledge you've marked as durable reference.
- Sharing — who can see parts of a personal vault. (A business shares one vault with its whole team instead.)
- Peers — connections to other people's Mycel, for personal vaults.
- Integrations — outbound webhooks for connecting other software.
- Automations — rules that run on their own.
- Usage — how much of your monthly allowance you've used.
- Settings — everything about your account.
Mycel is your business's memory: how you do things, what you decided, and what your team knows. It does not keep a customer list.
Customers, and every conversation and job with them, live in Relay (customer conversations) or TradesBackbone (field service). In a business vault the Customers tab links straight to them. Connect them in Settings → Organization → Connected apps and their assistant answers customers from your Mycel documents.
In a personal vault, Assistant still files people you mention into your Network folder, and the Contacts screen lists them. There is no add-on to buy.
Yes — the Automations screen builds rules in the shape of "when this happens, do that." A rule can fire when a document is filed, a tag is added, a contact is added or changed, or on a schedule.
What a rule can do: send you a notification, create a task, add a tag, write a note, call another system (a webhook), send an email, or post you a written summary of what changed.
The quickest start is Quick add, which offers ready-made rules like "Daily review at 8am" that you can edit. You can also just describe what you want in chat — "every Monday, summarize what changed last week" — and Assistant turns it into a rule card for you to confirm.
Automations are part of the Automations add-on (included on Personal Plus, Business and Enterprise). Also note: the send an email action only sends once email delivery has been configured for your account — until then it records itself honestly as not sent rather than pretending.
Go to Settings → How Assistant behaves. Two settings matter:
- Posture — Proactive means Assistant volunteers patterns and suggestions. Reactive means it does exactly what you ask and nothing more (in this mode it only saves things when you actually ask it to — using words like "save", "note" or "remember"). Balanced is the default and sits in between.
- Filing notifications — how loudly saves get announced: Silent, Subtle or Inline.
The same screen has your display name, Assistant's tone, and which AI model it uses by default. Changes save on their own.
Everything billing lives in Settings → Plan & billing: your current plan, the upgrade buttons, add-ons, and Manage subscription, which opens Stripe's portal to change your card, get invoices, or cancel.
Your monthly allowance is measured in AI credits. Each message spends credits by what its model costs to run: Claude Haiku, the default, uses the fewest; Sonnet uses about three times as many; Opus draws on separate Frontier credits. The Usage screen shows what you've used. On every plan, Assistant pauses when the month's credits run out: buy a credit pack or upgrade in Settings to carry on, or wait for the next month. Nothing is ever charged automatically.
Card details go straight to Stripe. Mycel never sees or stores your card number.
See the pricing page for current plans and prices.
Back at the far left of the top bar returns you to the last panel you were on (on a phone it is the arrow at the top left; on a computer, Alt and the Left arrow do the same). It only swaps the panel you are looking at and never opens extra panels.
On a wide screen you can work in two or three panels at once: Ctrl-click (Command-click on a Mac) a tab, or choose Open beside in the command palette. Drag the divider to size them. Then open Layouts in the top bar and choose Save what is on screen to name the arrangement. Your layouts are listed in the same menu and follow you to every device.
If your business uses other apps from the same stack, the Apps button (the small grid at the top right, next to your account picture; first in the menu on a phone) takes you straight into one, already signed in.
Yes. Give Assistant the data, or point it at the records, and say what you want: "put that in a spreadsheet" or "give me a CSV of those". You get a real .xlsx or .csv file with a download link, and the file stays in your Files list so you can get it again. It can also make a chart image, a one-page brief or a slide deck.
A spreadsheet is a grid of rows and columns, not a formatted report. Every number in a chart, brief or deck names the app or file it came from.
- Open Projects (under More) and click an item to add details.
- Type @ in the description or a comment to tag a teammate. They are notified, and so is anyone you assign.
- Set a Due date. Late items show an Overdue badge.
- Use the filter row on the board to narrow the list.
- The Files tab on an item shows its document and the project's attachments.
- To finish a project, open its menu and choose Mark project complete. Reopen and Delete are in the same menu, and Delete has an Undo.
Each project is a folder in your vault with one document per item, kept up to date, so Assistant can answer questions about it.
- Each question has quick buttons, a box to type in, and Say it to answer out loud. The answer goes onto the card it is about; no second card is made.
- If a customer name was heard a little wrong, the card asks Which customer? with your existing customers that sound close. Pick the right one, then approve.
- To add something later, find the card under Recent captures and press Add to this card.
- Mention tax and the review for a draft invoice or estimate shows a Tax block (subtotal, each tax line, total) before you approve. A lone phone number with no name goes onto the job as a note, never a nameless customer.
- If a capture was not sorted, Sort it now tries again; if it still cannot, it tells you why (sorting off, out of credits, or over the monthly limit).
- Why can't I start a Workroom?
- Workrooms are part of the Business plan with 2 or more seats. Move to Business, then open Workrooms and start one.
- A teammate accepted my invite but cannot get in.
- If their email already has a sign-in, they sign in instead of creating an account. The invite page checks and says so.
- What can a Member or Admin see?
- Under the invite form, "What they will see" lists, folder by folder, what the chosen role will see in the vault.
- I connected a service but it does not show as connected.
- Open Integrations (under More) and connect it again; you sign in to that service once more in its pop-up, and it then shows under Connected apps.
- Search gave me files, not an answer.
- Search puts a one-line answer on top with the files it came from underneath, and says so when those files do not answer the question.
- Business reports: which app is a number from?
- Each number names the app it came from. A number with nothing recorded yet says "Not measured" rather than showing zero.
- Vision will not use my camera.
- Your browser has blocked the camera for this site. Vision shows how to allow it again; then reload and choose Camera.
- How does Refine decide?
- The Critic always gets the last turn before the Referee rules. Each Advocate proposal is numbered (P1 is the opening); the Referee weighs every one that survived, and the final version says which one it was built on and why.
- Where do I make a folder or get started?
- Get started is in the top bar until everything is done or skipped. Its New folder button makes the folder in your business vault and ticks the step.
Settings → Your data → Vault export downloads your whole vault as a ZIP of plain Markdown files that open in any text editor. It's your work; you can take it elsewhere whenever you like.
The same screen lets you review the facts Mycel has recorded about your account, and — under Account — change your email or password, or delete your account. Deleting is permanent and asks you to type your email to confirm.
You can add your own Anthropic and/or OpenAI API key under Settings → Your data, and the parts of Assistant that support it will run on your key instead of your credit allowance. It doesn't cover everything yet — vault indexing and search always run on Mycel's own key — and it changes who is billed, not what data is sent or which provider receives it.
Either way, using Assistant means your message and the vault content it retrieves are sent to an AI model provider to generate the answer, and everything you save to your vault is sent to an embedding provider so it can be searched. Our privacy policy sets out exactly what goes where, and who those providers are.
Use the Feedback button in the workspace toolbar, or the support form. Tell us what you were trying to do and what happened instead — a real person reads every message, and "this was confusing" is genuinely useful to us.
This page covers the common questions. A longer written manual ships with the app as USER-MANUAL.md — ask support if you'd like a copy.
